Data Maintenance and Integrity
May 11, 2016We are entering an era of interoperability so it's more important than ever to understand the importance of data integrity. Data integrity refers to maintaining and assuring the accuracy and consistency of data. Here are a few important things you should know:
- Only utilize software fields as they are intended.
- Data values (the information put into a field) should be in alphanumeric format only. Avoid using special characters.
- Keep data clean. Include data maintenance rules as part of your SOPs. For example, establish guidelines for only archiving things of historical relevance and create a plan to regularly remove documents and notes that are no longer needed.
New Patient Tip... PREVENT DUPLICATE PATIENTS
Avoid adding duplicate patient records by checking to see if a patient/family is in the inactive search BEFORE adding a new record.

1. When a patient calls to make an appointment, ask if they have ever been a patient of record.
2. If yes, search using the Inactive option to see if the patient record exists.
3. If not found, create a new account.
