Year-End Planning and Reminders

As 2025 comes to a close, it's time to begin your year-end planning. There are a number of management reports that provide valuable insights into your practice's performance.

Some key reports and tasks to help you wrap up the year:

  • Clinic Accounts Receivable Report: For real-time insights into your total A/R, this report shows the balance as of the time of generation. Be sure to run it on the final production day of the year for accurate year-end totals.
  • Production and Collection Analysis Reports: These reports break down production, debits, applied payments, and credits, and allow for a specified date range. Use them to compare year-over-year performance and highlight percentage changes.
  • Practice Demographics Report: Get a comprehensive overview of your clinic composition with this report, which includes graphical snapshots of patient status, age, top zip codes, insurance coverage, and more.
  • Recall Due and Delinquent Report: Identify patients who missed or never scheduled recall appointments. Use this report to strategize how to bring them back and fill your hygiene schedule.
  • Patients with Remaining Benefits Report: This report, found under Listings in the Reports Toolbar, provides a list of patients with remaining insurance benefits, helping you reach out before year-end to maximize their coverage.
  • Fee Table Updates: If you’re considering office fee adjustments, update your fees in the Tables | Fees Table and print a list of current codes with assigned fees. You can make changes individually or apply a percentage increase or decrease.
  • End of year backup: Back up your data on the final production day to safeguard your records for the new year
  • Update CDT Codes: The CDT 2026 codes are available. If you need to use any of the new CDT 2026 codes, the code merge utility is available on the XLDent website in Member Services. (your website login is required to access it). Save the file to your local XLDent directory (i.e. C:\XLDENT). Navigate to your local XLDent directory, double-click the XLCDT2026.exe and click Update. Today, we were informed that our voice provider is requiring verification of each caller ID starting Monday, October 20, 2025. This is a one-time, <2-minute process per number but is necessary to ensure voice calls are not blocked.

What you need to do:
