New dental practices are often hit with a range of decisions to make all at once. As a new dental practice owner, finding the right software for your practice right away can make a significant difference in your business’s success down the road. Similarly, there are substantial advantages to implementing a new software suite like XLDent as early on as possible in your practice’s launch to take advantage of our proven workflows and customizable features for newly established dental practices.

Dentists and their staff should not need to be technology experts to run a successful dental practice. Certain software systems are often much better for new practices because of their usability design. More experienced software users might be more proficient with any given software product in your dental practice. Still, the good news is that even staff who are new to using software tools as part of their dental practice workflow improve at similar rates to experts when the software systems themselves are designed with new users in mind. Thus, good usability is a crucial metric to the success of all dental software implementations. Usability is also directly related to your entire practice’s overall user satisfaction with the software product.

At XLDent, we’ve taken a particular interest in the experiences and needs of new dental practices. Starting a new practice is a huge undertaking, and probably one of your professional life’s most significant decisions. The content, integrity, and continuity of your electronic dental records will play a key role in your ability to grow efficiently and profitably, as well as maintain valuable patient relationships and patient engagement mechanisms. XLDent’s All-Inclusive Suite of products and services includes all the tools you will need to make this journey. XLDent is your long-term solution for equipping your dental office with a customizable, scalable, and robust Practice and Clinical Management software system.

End of Year Goals and Your Dental Practice

Posted December 9, 2020 by Beth

XLD_End of Year Banner

This year is finally winding to a close, and many dental practices are looking to meet their end of year goals. In 2020 more than most years, dental practices are finding that they have fallen a bit short of where they wanted to be at the beginning of the year. The end of any year can be stressful for every dental practice. If you want to end the year on a higher note, consider this list of ideas for your practice to review before 2021 sneaks up on you.

Thank Loyal Patients

Whether it’s a card in the mail, an email, or just a simple text, letting your patients know you’ve appreciated their business in the past year, it’s just a best practice to reach out to the patients you’ve worked with within 2020. Let them know that they are still in your thoughts, and they’ll keep you at the top of mind, too.

Reschedule Cancelled Appointments

This past year has been the year of canceled appointments. Whether it was due to office closure, local health directives, or personal discretion, there are plenty of patients that missed appointments they’d probably like to fit in yet this year. Rescheduling patients that missed their appointments in March and April could be just the right fix for your end of year shortfall.

Check-In with Inactive Patients

The end of the year is an excellent time to check in with any patients that haven’t been to your office in a while. Reactivating patients that need a visit from within your database of patients can be a much more targeted and cost-effective approach to efficiently filling up your schedule.

Target Patients with Remaining Benefits

Many patients with insurance funds set aside at the end of the year would instead schedule an appointment then lose out on free preventative care. Use XLDent’s reporting feature to create a list of patients with insurance funds remaining in 2020, then alert those patients of any opening you might have in your schedule.

Choosing Software for Your Dental Practice

Posted November 6, 2020 by Beth

When it comes to selecting the software your dental practice will use for practice management, charting, or otherwise, dentists are often looking for just the right product to increase their practice’s efficiency, productivity, and revenue. This is no small task given the vast array of vendor options and features to select. We propose four key variables that can help you find out if a software is right for your practice: support, innovation, scalability, and integration.

Support

Some software vendors offer little customer support or onboarding process for their products. Especially with your first software, a lot of time, money, and effort will go to setting up, installing, and learning to use the software. Your practice will need support to adapt quickly and realize the software’s productivity benefits as soon as possible.

You’ll also need professional technical support on hand to make the most of your investment and avoid downtime.

Whether you have an existing practice or are starting a new practice, XLDent is here to guide you in managing or establishing a successful dental practice with our software. We not only understand the importance of the software selection process, but we also take pride in the experience and knowledge our XLDent Certified professionals will offer you during the process and long after you decide to move forward with the XLDent Suite of products.

The XLDent Software Assurance and Business Care Plan protects your investment. We are here to help long after your initial training is complete. Our knowledgeable and friendly Implementation Specialists genuinely care about your happiness and success with the XLDent Suite. We will consistently go the extra mile to answer your questions and help you reach your software implementation goals.

Innovation

A software product that does not evolve cannot grow with your practice. Not only does your vendor need to be able to invest in the growth of their company to keep up with regulations, but they also need to keep up with the challenges and opportunities created by new dental technologies.

XLDent is committed to innovation. We use current and updated development tools for the continual enhancement of the XLDent Software Suite. At XLDent, we dedicate ourselves to providing software features and solutions focused on our clients’ success, and we work with them to define those goals. We express that dedication in our commitment to the continual enhancement and redevelopment of the tools we create. We are continually re-evaluating the current development landscape with a strong emphasis on using proven, secure technologies and features to the advantage of the dental practices that partner with us.

Scalability

The needs of dental practices are continually evolving. So is technology. A software product that gets you started today may not serve your practice in the long run as you continue to grow. Before you adopt any technology, make sure that you understand how technology can adapt and scale to align with your future goals as a business.

XLDent Cloud offers a scalable cloud solution that can meet your practice where you are now and scale with you as you grow. With XLDent, all of your clinical documents, charts, patient contact information, and other practice management data can be accessed at any time by any authorized user. XLDent Cloud allows you to work in a secure environment without complicated network connections to retrieve your data.

Integration

The right software for your dental practice will integrate with as many of the tools and services you need for success as possible. Always look for software solutions that offer a complete suite, or at least integrate Real-Time Insurance Eligibility, Electronic Remittance Advice, Patient and Doctor Portals, Encrypted Email, and more.

XLDent has already integrated the eSolutions you need to stay competitive and maximize the efficiency of your practice. By partnering with an elite group of market leaders in the healthcare industry, we can offer you a comprehensive, fully integrated Electronic Services solution. All eSolutions are seamlessly integrated with your XLDent Suite to improve workflow processes, accuracy, patient experiences, and patient outcomes. XLDent has it all: electronic prescribing, patient and doctor portals, appointment reminders, credit card processing, electronic statement processing, electronic claim processing and claim status, real-time eligibility and benefits verification, electronic remittance advice, dental claim attachments, custom websites, marketing, offsite backup storage, Practice Booster for coding strategies, HIPAA-compliant email, cloud-based phone system through Mango Voice, and more.

Road to Recovery: Strategies for Reopening Your Practice

Posted July 16, 2020 by Beth

Road to Recovery : Strategies for Reopening Your Dental Practice

Patient health has always been your primary goal. As you reopen your dental practice for nonemergency procedures, you are likely to expand safety precautions for your staff and yourself. The American Dental Association (ADA) has issued useful guidelines to consider when reopening your practice. Along with these critical clinical and procedural guidelines for public health, you may also benefit from strategies to prioritize your practice’s operational health. XLDent would like to offer a few essential tips for reopening and remind you that we are here to support you. Your satisfaction continues to be our priority.

Clinical Charting Considerations

Due to the delays in routine care that patients endured during COVID quarantining, the need for professional maintenance in dental care may be higher than during a more typical season. Patients may have also had less self-maintenance and be more prone to increased bruxism due to increased stress during the challenges of last spring.

Electronic Dental Record systems that provide paperless charting like XLDent can be a valuable part of your reopening workflow. They allow you to customize your workflow and digitize your forms without any paper. XLDent’s “Ink on Chart” tool enables you to make quick notes, educate your patient, and engage them in their dental health without any extra tools or contamination points.

Preparing your Dental Practice

Given our current knowledge of the transmission of Coronavirus, dentists are likely to reassess and optimize their use of Personal Protection Equipment, especially where the risk of airborne droplet transmission becomes the most extreme. The ADA has recommended that you consider having all of your staff complete OSHA Infection Control Training. The ADA has also suggested that practices provide multiple hand-sanitizing stations in the waiting area and consistently clean and restock bathrooms with soap and paper towels. Supporting hygiene for employees and patients is a crucial element to the ADA’s advice for reopening practices

Team Communication

Maintaining reliable communication can be a challenge for the reopening dental office. Many practices will have a dispersed team, with some of the staff onsite and others working from home. Investments in tools like XLDent Interoffice Communication pay for themselves as they simplify instant messaging. For example, XLDent Interoffice Communication allows you to easily send messages to specific people, groups of people, or even each member of your staff. Efficient dental office communication will help you keep in touch even when social distancing is a part of your reopening strategy. XLNotify is compatible with all Dental Practice Management systems, and you do not need to do an entire implementation of XLDent to get started using this tool as part of your safety protocols.

Consistent Messaging

No matter what policies and procedures your practice has decided upon, keeping patients informed means providing consistent messaging in all your communications. For example, the sign on the door should match the office hold message. The Coronavirus procedures on your website should match the messaging on your social media accounts.

Tools like XLDent’s Secure Mail allow you to keep in touch with patients using a simple to install, HIPAA-compliant solution that secures sensitive patient information. SecureMail is a cost-effective, cloud-based subscription service. This service is available to any practice, regardless of the dental practice management system that they choose to use.

Another strategy for patient communication and engagement are patient portals like XLPortal from XLDent. This web-based solution allows you to conveniently build relationships and improve your efficiency when patient demand for online tools is high. XLPortal is directly integrated with your XLDent dental practice management system to provide your patients with electronic dental record information in real-time.

XLDent’s Continued Commitment

At XLDent, our mission to enhance the standard of patient care for improved patient outcomes remains steadfast during this trying time. We continue to design all of our products and eSolutions around the customizable workflows dentists need, even as those challenges change. Our efficient mobile and tablet friendly solutions will continue to cater to the patient/doctor experience. We will always provide seamless integration, training, and staff education to make your practice the most profitable and successful that it can be.

Overdue Recall: Get Patients Back on Track

Posted September 6, 2018 by Jennifer G

dentist appointment on calendarLife gets really busy, and it’s easy to forget about taking care of ourselves. Patients don’t always schedule a next hygiene appointment, and in the daily whirlwind that drives our productivity for the day, we overlook this. Even more importantly than this huge lost revenue source is the fact that patient health and preventive care is declining. Establishing an effective recall system that includes current patients, as well as focusing on past due ones, is important. Specifically, reach out to patients who have been dormant for several years. You’ll be surprised at how many are eager to get their oral health back on track.

To get started, consider this when reviewing your current recall program:

What does your staff say when calling a past due patient? A personal call goes a long way, and of course, we don’t want to shame anyone for letting preventive visits lapse. It helps to use phrases like we’re concerned for your oral health and we look forward to seeing you soon. Allow team members at least an hour at a time to sit down, review patient accounts, and make phone calls.

Are your patients so busy with long work hours they can’t make it in before 6 pm? You could consider offering a special extended day (or two) when you keep the office open 1-2 hours longer for hygiene patients only. Teamwork allows for a rotation of office staff to alter their hours once per week to accommodate an evening. This option for busy patients is one more way to get the appointment set.

Is the staff feeling incentivized to bring in those lapsed patients? Think about an incentive or treat such as bringing in bagels and coffee at the end of the month if your recall visit numbers reach a new high.

Pre-appoint every hygiene patient who comes in, or at least ask. This is the first step toward improving your retention rate. Soon, patients will come to expect this at their hygiene visits and your recall rate will show it. Encourage them to get the best selection of date and time and schedule it now to get one more thing off the to-do list.

Have you considered making the switch to an automated recall system? Once set up, it can manage how you are reaching out to patients with texts, emails, or postcard reminders about unscheduled visits. This is a great way to save staff time, increase response rate, and connect with patients who have previously been difficult to reach. Automated systems like Lighthouse 360 are designed to manage your current recall and reminders, but also focus on reactivation outreach.

Taking a look at your own recall program and setting aside time each month to focus on overdue patient’s is sure to be successful!
